• the UK Data Protection Act 2018 and UK GDPR,
• and, where applicable, other international privacy regulations.

3. Scope of Data Processed

We only process data necessary to establish contact, deliver our services, and maintain business communication, including:

• phone number,
• company details (name, position, industry),
• information derived from communications (notes, call recordings, project arrangements).

4. Purpose and Legal Basis for Processing

Personal data is processed for the following purposes and legal bases:

• to establish and maintain contact with clients or business partners – Article 6(1)(b) GDPR,
• to perform services provided by Calln’grow – Article 6(1)(b) GDPR,
• for analytical and quality purposes as part of Voice of Customer (VoC) services – Article 6(1)(f) GDPR (legitimate interest of the Controller).

5. Recording of Telephone Calls

Calls with clients may be recorded solely for evidence, quality assurance, and analytical purposes. Each participant is informed before the call begins. Recordings are stored for no longer than 12 months, unless a longer retention period is required by law.

6. Data Processed on Behalf of Clients (Voice of Customer Research)

As part of Voice of Customer (VoC) research, Calln’grow may process the personal data of our clients’ customers. In such cases, Calln’grow acts as a data processor, processing the data only on behalf of and under written instructions from the data controller (our client). These data are not used for any other purpose or disclosed to third parties.

7. Data Recipients

We do not share personal data with third parties except where:

• required by law, or
• necessary to perform our services (e.g., IT service providers, hosting, CRM systems),

and always under appropriate data processing agreements ensuring compliance with applicable regulations.

If we transfer data outside the European Economic Area (EEA), we ensure adequate safeguards such as EU Standard Contractual Clauses (SCCs) or equivalent legal mechanisms.

8. Data Retention Period

Personal data is retained only as long as necessary for the purpose it was collected:

• contact details – until cooperation ends or consent is withdrawn,
• call recordings – up to 12 months,
• contract-based data – for the duration of the contract and up to 3 years after termination (for legal and evidential purposes).

Under applicable data protection laws, you have the right to:

• rectify or erase data,
• restrict processing,
• object to processing,
• data portability,
